Overview
Settings control how Asset Management Pro behaves for your entire company – default depreciation method, maintenance intervals, approval workflows, barcode scanning, and email notifications. Managers configure these once; daily users benefit automatically.
Access settings at Asset Pro > Configuration > Settings.
How It Works
Settings are stored as system parameters and apply to new records by default. Existing asset types and assets keep their current values unless you update them. Changes take effect immediately after saving.
Key areas include Approval Workflows, Depreciation, Maintenance, Scanner, Notifications, and Compliance defaults.
Step-by-Step Guide
- Go to Asset Pro > Configuration > Settings.
- Under Approval Workflows, set default workflows for assets and transfers. Enable auto-create approval requests if desired.
- Under Depreciation, choose the default method and rate for new asset types.
- Under Maintenance, set the default interval in days and enable auto-scheduling if wanted.
- Under Scanner, enable barcode scanning and QR code generation.
- Review notification settings so the right people receive maintenance, budget, and compliance alerts.
- Click Save. Test by creating a new asset type or transfer to confirm defaults apply.

Field Explanations
Default Asset Approval Workflow
Assign before users start editing assets – otherwise changes bypass approval.
Default Transfer Approval Workflow
Most companies require approval for all transfers; set this on day one.
Auto-create Approval Requests
Recommended ON – ensures no change skips the approval process.
Default Depreciation Method
Match your accountant’s recommendation. New asset types inherit this.
Default Depreciation Rate (%)
20% is a common starting point for 5-year office equipment.
Default Maintenance Interval (Days)
90 days suits many machines; adjust for your industry.
Auto-schedule Maintenance
Saves time but review auto-created schedules quarterly for relevance.
Enable Barcode Scanning
Disable only if your organization does not use physical labels.
Compliance Alert Days
30 days gives teams time to schedule inspections before due dates.
Budget Alert Threshold (%)
Lower to 70% for departments that need tighter spending control.
Tips (Pro Tips)
- Configure settings during initial rollout before users create assets and transfers.
- Document your chosen defaults in an internal policy so new admins know why values were set.
- Revisit settings annually or when accounting policies change.
Common Mistakes
- Changing depreciation defaults without updating existing asset types – creates inconsistent values.
- Leaving approval workflows unassigned – transfers and disposals proceed without oversight.
- Disabling notifications and wondering why nobody receives maintenance reminders.
