Overview

A Medical Visit is a structured clinical record used by veterinarians to document why the pet came in, what was observed, and what was done. It supports standard SOAP notes (Subjective, Objective, Assessment, Plan) and captures diagnosis, procedures, vitals, and medications—plus costs and payment status for the front desk.

Visits are linked to the pet and appointments for full traceability. Follow‑up dates and notifications ensure the pet comes back on time for checks or test results, reducing risk and improving outcomes.

  • Standardized notes: SOAP format keeps clinical records consistent.

How It Works

  • Create a visit directly or from an appointment.
  • Move status from Scheduled to In Progress to Completed (or Cancelled).
  • Record SOAP notes: Subjective, Objective, Assessment, Plan.
  • Add diagnosis, vitals, procedures, medications, and follow-up date.

Step-by-Step Guide

  • Go to Pets › Health › Medical Visits.
  • Click New and choose the pet, visit type, date/time, and veterinarian.
  • Fill SOAP and medical details. Add cost and payment status.
  • Complete the visit and create a follow-up if needed.

Pet

Patient receiving care; determines owner and related history.

Date & Time

Scheduled or actual visit time for records and reports.

Visit Type

Classify the encounter (Checkup, Vaccination, Emergency, Surgery, Dental, Grooming, Other).

Reason

Chief complaint or visit purpose in plain language.

Status

Workflow state (Scheduled, In Progress, Completed, Cancelled, Rescheduled).

Veterinarian

Provider responsible for the encounter.

Cost & Payment

Visit cost and payment status used by front desk and analytics.

SOAP Notes

Subjective (owner report), Objective (findings), Assessment (diagnosis), Plan (treatment/tests).

Diagnosis

Final or working diagnoses recorded for history and follow‑up.

Procedure Performed

Any clinical procedure done (e.g., ear cleaning, wound care).

Medications

Prescriptions provided during the visit.

Follow‑up Date

Next review/check date to ensure continuity of care.

Tips

  • Complete SOAP notes during the visit to save time later.

Common Mistakes

  • Leaving the visit in Scheduled. Mark it Completed when done.
