What everyday users experience – blocked saves, warnings, form hints, and the validation status button.
Overview
Most people in your organisation will never open the Advance Validations menus. They will simply work in Sales, Contacts, Accounting, and other areas – and validations happen automatically in the background.
This chapter explains what your team members will see and how they should respond when a validation rule fires.
How It Works
When a user creates or edits a record, Odoo silently runs all active validation rules that apply to them. The user does not need to do anything special – validations are built into the normal save process. There are three possible outcomes:
- All rules pass – the record saves normally. The user notices nothing.
- A block rule fails – the save is rejected. A red error message appears explaining what to fix.
- A warning rule fails – the save succeeds. A log entry is created and an internal note may appear on the record’s chatter.
Step-by-Step Guide
When You See a Block Error
- You click Save on a record (contact, order, invoice, etc.).
- A red error popup appears with a message like “Please enter an email address.”
- Read the message carefully – it tells you exactly what to fix.
- Correct the data on the form.
- Click Save again. If all rules pass, the record saves successfully.
- If you believe the rule is wrong, contact your Validation Manager – do not try to work around it.
When You See a Warning
- You click Save and the record saves successfully.
- You may see an internal note on the record’s chatter mentioning the validation warning.
- The data was accepted, but your manager can see that a soft rule was triggered.
- Consider fixing the flagged issue even though the save was allowed.
Using Form Validation Hints
If your administrator has enabled form hints, you may see gentle coloured banners while editing a form – before you click Save:
- Start filling in a form (e.g., creating a new contact).
- As you type, a hint banner may appear below a field (e.g., “Phone number should be at least 10 digits”).
- These are soft reminders – they do not block you from saving.
- Fix the issue before saving to avoid a block or warning.
Using the Validation Status Button
On Contact, Sales Order, and Invoice forms, a Validation button (shield icon) appears at the top:
- Open a contact, sales order, or invoice.
- Click the Validation smart button at the top of the form.
- A popup shows:
- Which validation profiles apply to this record
- The last validation event (message and severity)
- Total number of blocks and warnings on this record
- A link to view the full validation log history

Field Explanations
Block Error Popup
This is a hard stop. You cannot save the record until you fix the flagged issue. The message is written by your Validation Manager – read it carefully for instructions.
Form Hint Banner
A helpful early warning that appears while you type. It does not prevent saving but gives you a chance to fix issues before clicking Save. Only appears when form hints are enabled in Settings.
Validation Button (Shield Icon)
Available on Contact, Sales Order, and Invoice forms. Gives a quick summary of validation history for that specific record. Useful for managers reviewing a customer’s data quality.
Warning Chatter Note
An internal note visible to your team (not to external customers). It documents that a soft validation rule was triggered. Managers use these to track data quality trends.
Tips
- Read block error messages carefully – they tell you exactly what to fix.
- Pay attention to form hints – fixing issues early saves time.
- If the same rule blocks you repeatedly, tell your manager – the rule or the process may need adjustment.
- Do not try to bypass validations – they exist to protect data quality for the whole company.
Common Mistakes
- Ignoring warning chatter notes – warnings exist for a reason; fix the data even though the save was allowed.
- Contacting IT instead of the Validation Manager – validation rules are business policies, not technical bugs.
- Trying to save repeatedly without fixing the data – the same block will appear every time until the issue is resolved.
- Assuming validations are optional – block rules cannot be bypassed through the normal Odoo interface.
